Wisethorough Solutions provides DOCX validation, editorial pre-checks, AI-assisted metadata and reference analysis, human review interfaces, and XML JATS generation for SciELO Publishing Schema and similar publishing workflows.

Free initial validation

The initial validation of DOCX files is provided free of charge. This feature allows users to obtain a preliminary editorial and technical diagnosis of the manuscript, including possible missing metadata, structural inconsistencies, and preparation issues. Available conversions or an active plan are required only for paid or advanced operations, such as AI-assisted processing, editorial preparation, XML JATS generation, and related services.

The validation process supports the adjustments that need to be made to the DOCX file or (for minor corrections) directly within the session, ensuring everything is ready for error-free SciELO JATS XML conversion.

Free Monthly Conversions

Driven by our commitment to support the community, we have established the permanent availability of a monthly quota of free conversions as a core principle. Currently, this allowance is set at 5 free conversions per month.

While this volume may vary over time, our commitment remains to provide a permanent availability of monthly free conversions. This means that besides validating your files completely free of charge, you will always be able (within certain limits) to convert DOCX to SciELO JATS XML.

For cases requiring a higher volume of monthly conversions, we offer the following plans:

Unit reference value per conversion: €5 / R$30 (+ tax).

Use of available conversions

Available conversions are not electronic money, do not have independent monetary value, and cannot be converted into cash. They are intended exclusively for use within the functionalities made available by the platform.

Subscription services renew automatically month to month on the exact date on which the subscription was made. The user may cancel the subscription at any time.

If the subscription is cancelled in the middle of a billing cycle, available conversions remain active until the end of that cycle and no new renewal is made.

Changing plan is possible by fully replacing the existing plan, as a new subscription, both for upgrades and downgrades. Available conversions remain non-cumulative; any unused conversions from the previous plan are lost when the plan is changed.

When changing plan, any unused available conversions from the previous plan will be lost.

One available conversion corresponds to the generation of one XML file after DOCX validation. Available conversions do not guarantee journal acceptance, indexer acceptance, editorial approval, or that no manual corrections will be required.

Prices may be subject to applicable taxes, currency conversion, payment provider fees, invoicing rules, or local fiscal obligations. Final amounts may be confirmed at checkout or during manual annual activation.

Launch prices are introductory beta conditions for development partners and may be changed, withdrawn, corrected, or replaced for future subscription cycles. Available conversions already granted in the current billing cycle remain subject to the conditions applicable to that cycle, unless otherwise required by law.

Institutional agreements, annual activation, volume discounts, and customized pricing may be available for journals, publishers, universities, research units, editorial offices, conference proceedings, and multi-journal platforms.

Terms of Service

By using this service, the user agrees to these Terms of Service. Wisethorough Solutions provides automated and semi-automated editorial support for DOCX validation, structural analysis, AI-assisted interpretation, consistency review, XML JATS generation, and SciELO Publishing Schema preparation.

Some functions require registration, login, email confirmation, available conversions through an active plan, and truthful account and billing information. The user is responsible for keeping account access secure and for ensuring that submitted information is accurate and lawful.

The workflow may include DOCX upload, parser extraction, JSON creation, AI analysis, consistency review, validation report, human correction interface, and XML generation. Results are technical and editorial aids and must be reviewed before submission to a journal, platform, indexer, or repository.

AI-assisted outputs may infer, normalize, or propose metadata, affiliations, author contributions, languages, titles, abstracts, keywords, references, and other editorial fields. These outputs can be incomplete or incorrect and must be confirmed by the user or editorial team before use.

The free validation, validation reports, AI-assisted analysis, metadata suggestions, and XML generation tools are editorial and technical support services. They do not constitute certification, editorial approval, publication acceptance, indexing approval, or a guarantee of full compliance with SciELO, JATS, Crossref, DOAJ, Scopus, or any equivalent journal, platform, or indexing system.

The service does not guarantee acceptance by journals or indexers, automatic compliance with all external requirements, absence of editorial or technical corrections, or legal suitability for a specific publication workflow. The user remains responsible for the submitted content, copyright permissions, image rights, research ethics, scientific integrity, final editorial review, and verification of generated XML files.

Monthly subscription plans are processed through the configured payment provider and renew automatically month to month on the exact date on which the subscription was made. Available conversions may be consumed when XML files are generated or when a paid workflow is completed according to the service configuration.

The platform is provided on a best-effort basis. Temporary interruptions may occur due to maintenance, updates, server issues, security measures, payment provider issues, AI provider issues, hosting limitations, or external provider failures.

Users retain ownership of the submitted content. Wisethorough Solutions only receives the limited technical right to upload, parse, analyze, temporarily store, transform, validate, and generate files as necessary to provide the requested service.

The service must not be used to upload unlawful, infringing, malicious, confidential third-party material without authorization, or content that the user has no right to process. Wisethorough may restrict access where misuse, security risk, non-payment, or unlawful use is reasonably suspected.

Privacy Policy

Wisethorough Solutions is committed to protecting user privacy, minimizing stored data, and limiting manuscript processing to what is necessary for validation and XML generation.

The platform may process account information, email address, billing or payment references, uploaded DOCX files, extracted text, generated JSON, AI analysis results, validation reports, generated XML files, correction data, and technical logs necessary for operation, security, debugging, payment reconciliation, and service improvement.

The current AI layer may send selected article content, metadata, references, affiliations, abstracts, keywords, and contextual excerpts to the configured AI provider for interpretation, normalization, consistency review, and editorial suggestions. The AI layer is used to support analysis and does not publish the submitted article.

Submitted DOCX files, article contents, generated JSON, AI analysis, validation reports, and XML files are not intentionally made public through the platform. Access should be limited to the authenticated user and the technical service process. Where temporary URLs, server paths, logs, or generated files are created for processing or download, the system should minimize exposure, avoid public indexing, and delete temporary files as soon as operationally possible.

Uploaded files, generated XML files, and related temporary processing files are automatically deleted after approximately 24 hours where technically possible. Some account, payment, security, audit, or minimal technical records may be retained for legal, tax, fraud prevention, troubleshooting, or service integrity purposes. Wisethorough Solutions does not permanently archive submitted manuscripts or generated XML files unless explicitly agreed otherwise.

Reasonable technical and organizational measures are used to protect uploaded files and generated outputs. No online system can guarantee absolute security, and users should avoid uploading material for which they do not have processing rights or that requires a higher confidentiality regime than the service expressly provides.

The platform may use third-party services including FastSpring for payments, Cloudflare Turnstile for spam protection, SMTP/email delivery providers, AI providers, hosting infrastructure providers, and security or logging tools strictly as needed to operate the service.

Refund Policy

Due to the digital and immediately consumable nature of the service, subscription payments are generally non-refundable once available conversions have been delivered, activated, consumed, or used to generate files.

Refund requests may exceptionally be considered in cases of duplicate payments, technical billing errors, non-delivery of available conversions, or verified platform malfunction preventing service delivery.

Nothing in this policy limits mandatory consumer rights applicable under Portuguese or European Union law, including rights that may apply to distance contracts, digital content, or digital services.
